1. Introduction
Valet QR Pro is a digital valet operations system developed and managed by Zelvian Tech. The system helps hotels, convention centers, banquet halls, hospitals, restaurants, clubs, valet agencies and similar businesses manage valet token assignment, vehicle requests, dashboard alerts, WhatsApp-based guest communication, parking location details and vehicle handover status.
This Privacy Policy applies to information processed through the Valet QR Pro mobile app, backend services, QR request pages, Firebase/Firestore database and WhatsApp Cloud API integration.
2. Information We Collect
Valet QR Pro collects only the information required to operate the valet workflow. Depending on the usage, the following information may be collected:
2.1 Staff / User Information
- Staff name
- Staff email address / login ID
- User role, such as admin or valet staff
- Venue access permissions
- Account active/inactive status
2.2 Vehicle and Valet Operation Information
- Valet token number
- Vehicle number
- Venue name
- Event/function date
- Vehicle status such as parked, requested, bringing, ready or delivered
- Assigned time, requested time, ready time and delivered time
- Parking slot, parking notes or location information entered by the valet team
2.3 Guest Communication Information
- Guest WhatsApp number when the guest sends a vehicle request through WhatsApp
- WhatsApp request message content related to the valet token
- Automated WhatsApp response status and operational messages
2.4 Parking Location Information
If the valet team uses the parking location feature, the app may save GPS coordinates of the parked vehicle location. This is used only to help the valet staff locate the vehicle quickly when the guest requests the car.
3. How We Use Information
Information collected by Valet QR Pro is used for the following operational purposes:
- To authenticate staff and venue users
- To assign valet tokens to vehicles
- To manage vehicle request and delivery status
- To show live dashboard alerts to valet staff
- To send WhatsApp auto-replies and gate reminder messages
- To help staff locate parked vehicles using saved parking details or location pins
- To maintain daily history and operational records for the venue
- To prevent duplicate active token assignment
- To provide support, troubleshooting and service improvements
4. WhatsApp Cloud API Usage
Valet QR Pro uses WhatsApp Cloud API to receive guest vehicle requests and send automated operational messages. Messages may include confirmation that the vehicle request has been received, expected waiting time, and a gate reminder when the vehicle is ready.
WhatsApp communication is used only for valet-related operational purposes. Valet QR Pro does not use WhatsApp numbers for advertising, unrelated promotions or sale of personal data.
5. Data Sharing
Zelvian Tech does not sell personal information, guest phone numbers, vehicle details or staff data to advertisers or third parties.
Data may be processed through trusted service providers required for app operation, including:
- Firebase / Google Cloud for authentication and database storage
- WhatsApp Cloud API / Meta for WhatsApp messaging
- Backend hosting services for webhook and automation processing
- Google Maps or map links when staff opens saved parking location coordinates
6. Data Storage and Retention
Valet operation data is stored only as long as needed for operational, support and record purposes. Vehicle/event records may be deleted after a limited operational period, such as after the event is completed or after the configured retention period.
Valet QR Pro may use automated deletion rules, such as deleting vehicle records after a certain number of days from the event date, depending on the client/venue configuration.
7. Security
We use reasonable technical and organisational measures to protect information processed through Valet QR Pro. These measures may include user authentication, role-based access, venue-based access control, Firestore security rules, backend access control and secured environment variables for API keys and service credentials.
However, no system can guarantee absolute security. Users should keep login credentials confidential and should not share staff login details with unauthorised persons.
8. Role-Based and Venue-Based Access
Valet QR Pro is designed to restrict access based on user roles and assigned venues. Admin users may have broader access, while valet staff users may only access data for assigned venues.
9. Location Data
Location data is collected only when valet staff intentionally uses the “Save Parking Location” feature. The saved GPS location is used to help staff find the parked vehicle and is linked to the related valet token/vehicle entry.
Location data is not used for tracking guests, advertising or unrelated purposes.
10. User Responsibilities
Users and client venues using Valet QR Pro are responsible for:
- Using the app only for legitimate valet operations
- Entering accurate vehicle, venue and parking information
- Keeping login credentials secure
- Ensuring staff access is given only to authorised users
- Informing Zelvian Tech if staff access needs to be disabled
11. Children’s Privacy
Valet QR Pro is a business operations tool and is not intended for use by children. The app does not knowingly collect information from children.
